1. Introduction
Welcome to Tamil Australia ("we", "our", or "us"). These Terms and Conditions govern your use of our event booking, ticketing, community membership, and community finance management platform, including our website and our mobile applications (the public attendee app and the staff scanner / ticket master app).
By accessing or using Tamil Australia, including downloading or using our apps, you agree to be bound by these Terms and Conditions. If you do not agree with any part of these terms, you may not access the platform or the apps.
2. User Accounts
You must be at least 16 years old, or have the consent of a parent or guardian, and be able to form a legally binding contract to use our platform. To use certain features of our platform or apps, you must register for an account. You agree to:
- Provide accurate, current, and complete information
- Maintain and promptly update your account information
- Keep your password secure and confidential
- Notify us immediately of any unauthorized use of your account
You are responsible for all activities that occur under your account.
3. Event Tickets & Bookings
3.1 Ticket Purchases
When you purchase a ticket through our platform:
- You enter into a contract with the event organizer, not Tamil Australia
- All ticket sales are final unless the event is cancelled
- Ticket prices are set by event organizers and may include service fees
- You will receive a confirmation email with your e-ticket
3.2 Event Changes & Cancellations
Event organizers reserve the right to:
- Change event dates, times, or venues
- Cancel events due to unforeseen circumstances
- Refuse entry to attendees who violate event rules
If an event is cancelled, refunds will be processed according to the organizer's refund policy.
3.3 Refund Policy
Refunds are handled by individual event organizers. Tamil Australia facilitates refund processing but does not guarantee refunds for:
- Change of plans or inability to attend
- Weather-related issues (unless event is officially cancelled)
- Personal emergencies
3.4 Door Sales & Entry
At the venue, authorised event staff validate entry by scanning your ticket QR code using the staff scanner app. Tickets may also be issued at the door (door sales). In this release, door sales recorded through the app are cash or complimentary admissions only — no card payments are taken in the app. Where you provide your details for a door sale, they are handled in accordance with our Privacy Policy. Entry remains subject to the organiser's event rules and venue conditions.
4. Event Organizer Responsibilities
Event organizers using our platform agree to:
- Provide accurate event information and descriptions
- Comply with all applicable laws and regulations
- Obtain necessary permits and licenses
- Maintain appropriate insurance coverage
- Process refunds in accordance with stated policies
- Pay agreed processing fees as disclosed
4.1 Staff & Scanner App Responsibilities
Organisers are responsible for the staff they authorise to use the staff scanner (ticket master) app and for the actions taken under those staff accounts. Authorised staff agree to:
- Use the app and its camera only for legitimate event operations — scanning ticket QR codes for entry and recording door sales or complimentary admissions.
- Keep their login credentials confidential and not share staff accounts.
- Collect and handle attendee details entered for door sales (such as name, email, and phone) only for that event and in accordance with our Privacy Policy and applicable privacy laws.
- Not misuse, export, or retain attendee or ticketing data beyond what is necessary for their role.
This release of the app does not take in-app card payments or use Tap-to-Pay. Door sales recorded in the scanner app are cash or complimentary admissions only; organisers are responsible for collecting and reconciling any cash handled at the door.
5. Processing Fees & Payment
Tamil Australia charges the following processing fees on ticket sales:
- Processing Fee: includes Tamil Australia's $0.40 retained share (plus 10% GST) plus card-processing charges collected at checkout from attendees
- All fees include 10% Australian GST
- Fees are clearly displayed during the checkout process
- Subject to change with prior notice to users and event organizers
Payment processing is handled through Stripe, our secure third-party payment provider. We do not store credit card information on our servers.
6. Community Membership, Finance & Invoices
6.1 Community Membership
Community organizers may use Tamil Australia to manage members, invitations, membership fees, role assignments, committee and subcommittee records, and membership communications.
- Membership fees, renewal rules, eligibility, and approval decisions are set by the relevant community organizer unless stated otherwise.
- Community organizers are responsible for ensuring their membership rules, communications, and member administration comply with applicable laws and their own constitution or governing documents.
- Members must provide accurate information and keep their contact details up to date.
- Role assignments such as president, treasurer, secretary, committee member, subcommittee member, ticket master, or similar roles are administrative labels used for access control and public/community presentation where enabled.
6.2 Community Finance Records
Tamil Australia may provide tools for communities to record income, expenses, invoices, sponsorship payments, vendor details, receipts, ledger entries, reports, and audit trails.
- Community finance records are operational records entered or approved by the relevant community organizer or authorized finance users.
- Tamil Australia provides software tools and platform records; it does not act as the community's accountant, auditor, tax adviser, or legal adviser.
- Community organizers remain responsible for record accuracy, GST/tax treatment, invoice content, vendor information, approval workflows, and providing records to auditors, regulators, or members where required by their own obligations.
- Finance access is restricted by role. Authorized community finance users and Tamil Australia super administrators may access these records for administration, support, security, audit, and compliance purposes.
6.3 Finance Emails and Notifications
Where a community sends invoices, expense notices, sponsorship requests, membership reminders, or related finance communications through Tamil Australia, the sender is responsible for ensuring the recipient details, amounts, descriptions, and supporting information are correct.

All sales are final and non-refundable except in specific circumstances outlined in our refund policy. By completing your purchase, you acknowledge and agree to these terms.
Quick Summary:
- Event Cancelled by Organizer: Full refund (100% including all fees)
- Customer-Requested Cancellation: No refund (all sales are final)
- Special Circumstances: May be reviewed case-by-case with documentation
- Processing Time: 5-10 business days when approved
- No Partial Refunds: Multi-ticket bookings cannot be partially refunded
Non-Refundable Situations:
- No-shows (failure to attend purchased event)
- Change of mind after event has started
- Personal scheduling conflicts
- Weather conditions (unless event is officially cancelled)
- Illness or personal emergencies (without supporting documentation)

8. User Conduct
You agree not to:
- Resell tickets for profit (scalping) without authorization
- Use automated systems or bots to purchase tickets
- Post false, misleading, or fraudulent event information
- Violate any laws or regulations
- Infringe on intellectual property rights
- Harass, abuse, or harm other users
- Attempt to hack or compromise platform security
- Reverse engineer, decompile, or tamper with our apps, or use them other than as intended
- Use the staff scanner app or any attendee data without authorisation from the relevant organiser
- Access, collect, or use other people's personal information through the platform except as permitted by your role
9. Intellectual Property
All content on Tamil Australia, including text, graphics, logos, images, and software, is the property of Tamil Australia or its licensors and is protected by copyright laws.
You may not reproduce, distribute, modify, or create derivative works without our express written permission.
10. Limitation of Liability
Tamil Australia is a platform connecting event organizers with attendees. We are not responsible for:
- Event quality, safety, or outcomes
- Actions or omissions of event organizers
- Injuries, losses, or damages occurring at events
- Disputes between users and event organizers
- Technical issues or service interruptions
IN NO EVENT SHALL TAMIL AUSTRALIA BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, OR CONSEQUENTIAL DAMAGES ARISING OUT OF OR IN CONNECTION WITH OUR PLATFORM.
11. Privacy & Data Protection
Your privacy is important to us. Our Privacy Policy explains how we collect, use, protect, and disclose personal information, including community membership details and community finance records. By using Tamil Australia, you consent to our data practices as described in our Privacy Policy.
12. Termination
We reserve the right to suspend or terminate your account at any time for:
- Violation of these Terms and Conditions
- Fraudulent or illegal activity
- Abuse of the platform or other users
- Any other reason at our sole discretion
You may close your account at any time by deleting it in the app (My Account → Delete account) or by emailing us at events@tamilaustralia.com.au. Deletion is handled as described in our Privacy Policy.
13. Governing Law
These Terms and Conditions are governed by the laws of the State of Queensland and the Commonwealth of Australia. You and Tamil Australia submit to the non-exclusive jurisdiction of the courts of Queensland, Australia. Nothing in these terms excludes, restricts, or modifies any rights you may have under the Australian Consumer Law or other consumer guarantees that cannot lawfully be excluded.
14. Changes to Terms
We reserve the right to modify these Terms and Conditions at any time. Changes will be effective immediately upon posting. Your continued use of the platform after changes constitutes acceptance of the modified terms.
