The organisation responsible for your information

Tamil Australia operates an events, ticketing, community membership, and community finance platform. Our services are delivered through our website at www.tamilaustralia.com.au and through our mobile applications, including a public-facing app for attendees and a dedicated staff scanner (ticket master) app used by event staff at the door.

We are the entity responsible for the personal information described in this policy. We handle personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

We will acknowledge requests promptly and respond within a reasonable time, consistent with our obligations under the Privacy Act.

The highest level of payment card industry security certification. All card data is processed through our PCI-compliant payment partner Stripe - no card information is stored on our servers.

Our Mobile Apps

What our apps collect and why, including the staff scanner app

Information our apps collect

  • Account information you provide, such as your name, email address, and phone number, and your login and session details.
  • Event, booking, and attendee data associated with your account, including tickets you hold and your check-in status.
  • Push notification device tokens, where you enable notifications, so we can send you event reminders, check-in confirmations, and important updates. You can disable notifications at any time in your device settings.
  • Basic technical and diagnostic information needed to operate the app securely, such as app version and error logs.

Staff scanner (ticket master) app

The staff scanner app is used by authorised event staff to admit attendees at the door. In addition to staff login and session details, it processes:

  • Ticket QR codes scanned at the door, used to validate entry and record check-ins.
  • Attendee details entered by staff for door sales, such as name, email address, and phone number, so a ticket or admission record can be created on the spot.

The staff scanner app requests access to your device camera for a single purpose: to scan ticket QR codes for entry validation. The camera is used only while you are actively scanning. We do not take, save, or upload photos, videos, or any camera images. No camera images are stored on your device or our servers — only the decoded ticket reference and check-in result are recorded. You can decline or revoke camera access in your device settings at any time, though QR scanning will not function without it.

No in-app payments in this release

This release of the app does not take in-app card payments or use Tap-to-Pay. Door sales handled in the scanner app are recorded as cash or complimentary (comp) admissions only. No card or payment-card data is collected, entered, or stored in the app. Any online card payments made on our website are processed by Stripe, as described below.

🛡️ We Never Sell Your Personal Information

Your privacy is not for sale. We do not sell, rent, or trade your personal information to third parties for any reason.

Marketing Communications: We may use your email address to send you updates about events, new features, and community news that we believe may interest you. You can opt out of marketing emails at any time by clicking the unsubscribe link in any email or by contacting us directly.

🤝 Event Attendee Data & Community Programs

We do not use another organizer's event attendee data to promote our community programs. If you book a ticket to an event run by an independent organizer on our platform, your booking details are shared with that organizer for event delivery purposes only (see "Event Services" below) — not to invite you to join Tamil Australia's own membership community.

At checkout, and on every other form where you submit your own details to attend an event (ticket booking, private-event RSVP, waitlist, volunteering, or free enrollment), you will always see this same optional, unchecked checkbox inviting you to hear about Tamil Australia community benefits (such as the community WhatsApp group, job opportunities, and podcast/video-cast features). We only add you to that community communication list if you actively tick this box — it is never selected by default, never required to complete your booking, and never inferred from simply attending an event. You can withdraw this consent at any time via the unsubscribe link in any community email or by contacting us directly.

A link to this Privacy Policy is also included in every booking confirmation and other transactional email we send you, so you can review these terms at any time.

Community Member and Finance Access

Community member lists, membership payment details, committee role assignments, invoices, expenses, and finance reports are restricted to the relevant community organizer or authorized community leaders, Tamil Australia super administrators, and service providers required to operate the platform.

Public community pages may display approved public information such as committee names, public roles, profile images, event details, sponsors, and community contact details. Private member records and finance records are not made publicly visible.

Payments & Service Providers

The trusted third parties that help us run the platform

Payment processing. Online card payments made on our website are processed by Stripe, a PCI-DSS compliant payment provider. Card details are entered directly with Stripe and are never stored on our servers. Stripe handles this data under its own privacy policy, available at stripe.com/privacy. As noted above, this app release does not take in-app card payments or use Tap-to-Pay; door sales are recorded as cash or complimentary only.

We use a limited set of trusted service providers (processors) to operate the platform on our behalf. They may only use personal information to provide services to us and are bound by confidentiality and security obligations:

  • Stripe — payment processing for online card transactions.
  • Email provider — to send transactional messages such as ticket confirmations, check-in receipts, account notices, and event communications.
  • Hosting and cloud infrastructure — to host the platform, store data securely, and deliver push notifications.

Some providers may process data outside Australia. Where this occurs, we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles.

How Long We Keep Your Data

Our approach to data retention and secure storage

We keep personal information only for as long as it is needed for the purposes described in this policy, or as required to meet legal, tax, accounting, and audit obligations. Login credentials and session tokens are stored securely using your device's secure storage and encrypted at rest and in transit. When data is no longer required, we delete it or de-identify it.

Some records, such as financial and transaction records, may need to be retained for a period required by Australian law even after an account is closed.

Deleting Your Account

You can delete your account and associated data at any time

You can request deletion of your account in two ways:

  • In the app: go to My Account → Delete account and follow the prompts.
  • By email: contact us at events@tamilaustralia.com.au from the email address linked to your account and ask us to delete it.

When you delete your account, we delete or de-identify your personal profile information and disable your login. Push notification tokens are removed and you will stop receiving notifications. Certain records may be retained where we are legally required to keep them — for example, financial and transaction records — or to resolve disputes and enforce our terms. We will confirm once your request has been actioned.

Children's Privacy

Our services are intended for adults and are not directed at children. We do not knowingly collect personal information from children under 16 without the consent of a parent or guardian. Where a parent or guardian books tickets for a family, the account holder is responsible for that information. If you believe a child has provided us information without consent, please contact us and we will delete it.

Cookies (Website)

Our website uses cookies and similar technologies to keep you signed in, remember your preferences, secure the site, and understand how it is used so we can improve it. You can control or clear cookies through your browser settings. Our mobile apps do not use website cookies; they use secure on-device storage for your login session.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes to our services, technology, or legal obligations. When we make material changes, we will update the "Last Updated" date at the top of this page and, where appropriate, notify you in the app or by email. The effective date of this version is June 29, 2026.
