TA Scanner: organiser and ticket master guide
Assign event staff, install TA Scanner, check attendees in, search tickets and manage gate access safely.
Before you begin
TA Scanner is the staff app for event entry. Only people assigned as ticket masters for an event can see that event or check in its attendees.
Android is available now from Google Play. The iPhone download link will be added after the current App Store release is approved and published.
- Android: Download from Google Play
- Use the same email address that the organiser assigns in Organizer V2.
- Charge the device, enable mobile data or venue Wi-Fi, and allow camera access for QR scanning.
Assign a ticket master in Organizer V2
- 1Sign in to Organizer V2 and open My Events.
- 2Select the event that the staff member will manage.
- 3Open the Gate setup tab.
- 4Under Ticket masters, enter the staff member's email address.
- 5Select Allow gate sales only when that person may record cash or complimentary admissions at the venue.
- 6Select Assign ticket master. The person receives an account setup email if they do not already have scanner access.
- 7Confirm that the person appears in the Ticket masters list before event day.
Important: Assignment is event-specific. A person assigned to one event cannot access another event unless an organiser separately assigns them there.
Install and sign in
- 1Install TA Scanner from the store link supplied by Tamil Australia.
- 2Open the app and sign in with the assigned ticket master email address.
- 3Complete password setup from the invitation email when prompted.
- 4Open the assigned event. If it is missing, refresh the event list and confirm the organiser used the same email address.
Scan and check in a ticket
- 1Open the correct event and select Scan QR.
- 2Allow camera access when the device asks for permission.
- 3Hold the attendee's QR code inside the scanner frame.
- 4Review the attendee, ticket type and current ticket status shown by the app.
- 5Select Check in only after confirming the attendee is presenting the correct valid ticket.
- 6Wait for the successful check-in confirmation before admitting the attendee.
Important: A cancelled, refunded, invalid or already checked-in ticket must not be admitted unless the organiser resolves it through the appropriate dashboard workflow.
Search when a QR code cannot be scanned
- 1Use the search field on the event scanner screen.
- 2Search by attendee name, email address or ticket reference.
- 3Open the matching attendee and verify their details before selecting Check in.
- 4Use View all attendees when you need to browse the complete event list.
Gate sales
Gate sales appear only when the organiser enables them for the event and gives the ticket master gate-sale permission.
- This release records cash and complimentary admissions only.
- TA Scanner does not take card payments or use Tap to Pay.
- The organiser is responsible for collecting and reconciling cash received at the venue.
- Choose the correct ticket type and attendee quantity before issuing the admission.
Event-day checks
- Sign in and confirm the assigned event is visible before doors open.
- Test one organiser-approved ticket and reverse the test record if it is not intended to remain in event reporting.
- Keep at least one charged backup device available.
- Do not share ticket master passwords or leave an unlocked scanner device unattended.
- Use manual search if a camera is unavailable; do not photograph attendee QR codes.
Remove access after the event
- 1Open the event in Organizer V2 and return to Gate setup.
- 2Find the person in the Ticket masters list.
- 3Select Revoke to remove their access to that event.
Troubleshooting
- Event not visible: refresh the app and verify the assigned email address and event.
- Camera not opening: allow camera access in the device settings, then reopen TA Scanner.
- Ticket not found: confirm the correct event is selected, then search by email or ticket reference.
- Already checked in: ask the event lead to verify the attendee before taking any further action.
- No network: move to a stronger connection. Do not assume a check-in succeeded until the app confirms it.
